Terms and Conditions

1 RATES
1.1 All rates are denominated in USD.
1.2 The nett rate is the amount due to ZHC and is not commissionable.
1.3 ZHC reserve the right to change rates without notice.

2 PAYMENT
2.1 All payments are to be made in USD unless a special arrangement is made between the parties and committed to writing.
2.2 All payments are required in full before booking is confirmed.
2.3 Bookings will be cancelled if payment is not received in full prior to the date of travel.

3 BOOKINGS
3.1 All bookings will be made with the ZHC reservations office in Victoria Falls.
3.2 Charter bookings to be made at least 7 days before the date of charter to allow for flight planning.

4 AIRCRAFT AVAILABILITY
4.1 Charters are subject to aircraft availability.
4.2 There is a possibility of aircraft change without prior notice.
4.3 Flights are weather depend, and charters may be cancelled due to unfavourable weather conditions.

5 GENERAL CANCELLATION POLICY
5.1 Cancellation more than 30 days before date of travel – no charge.
5.2 Cancellation within 30 days of travel – 20% cancellation fees.
5.3 Cancellation within 7 days before date of travel – 50% cancellation fees.
5.4 Cancellation within 24 hrs / no show – 100% cancellation fees.
5.5 If a passenger falls sick and provides reasonable proof – 100% refund. Our helicopters provide service to the Medical Air Rescue Service for all its search and rescue operations. Should an emergency situation arise, your flight may be cancelled and rescheduled.

6 REJECTION
6.1 ZHC reserve the right to refuse flying any passenger on their aircraft as they so choose. This is entirely at ZHC managements’ discretion.
6.2 Carrying of illegal substances is strictly prohibited.
6.3 Helicopter charters are governed by the Civil Aviation Authority of Zimbabwe (CAAZ)
6.4 There is a maximum weight limit of 120 kilograms per passenger on all flights, however flights rearrangements may still be made to accommodate the passenger exceeding this limit

6.5 Our helicopters provide service to the Medical Air Rescue Service for all its search and rescue operations. Should an emergency situation arise, your charter may be cancelled or rescheduled.

7 TOUR OPERATORS’ RESPONSIBILITY & LIABILITY
7.1 The agent will inform their clients of all relevant information pertaining to activity requirements and shall be responsible for collection of all money due from such clients and for payment to ZHC.

7.2 The agent will inform their clients of any National Parks Fees that are payable and collected by Shearwater.

8 VARIATION OF TERMS & CONDITIONS
8.1 No variation of these terms and conditions shall be binding unless communicated in writing by ZHC

9 DURATION
9.1 The agreement validity is as stated on the rate sheet and it supersedes any previous agreement.

10 BREACH
10.1 Should ANY of these terms and conditions itemised above not be fully complied with,

ZHC reserves the right to:
i) Cancel reservations.
ii) Withdraw rates.
iii) Withdraw any other special trading arrangements.
iv) Terminate the contract.
v) Take legal action as necessary.

11 TERMINATION
11.1 ZHC reserves the right to terminate this agreement by giving the agent one months’ notice.

12 LEGALITY
12.1 This agreement is non-assignable and shall be constructed and have effect according to the laws of Zimbabwe.

What Qualifies?

Identical Flights
The activity must be identical in all aspects (e.g., same provider, same inclusions, same cancellation policy).
Included Competitors
To request a price match, provide evidence of the competitor's lower price. This might involve submitting a link.
Exclusions
There may be exclusions, such as special events, limited-time promotions, or Flights offered by third-party sellers on marketplaces like Groupon.

Cancellation Policy

At Zambezi Helicopter Company we understand that plans can change, and we strive to be as accommodating as possible. However, to ensure that all participants have the best experience, we have implemented the following cancellation policy:

  1. Cancellations Made 24 Hours Prior to the Activity:

    • If you need to cancel your reservation, please notify us at least 24 hours before the scheduled activity. Cancellations made 24 hours or more in advance will receive a full refund or the option to reschedule at no additional cost.
  2. Cancellations Made Less Than 24 Hours Prior to the Activity:

    • Cancellations made within 24 hours of the scheduled activity time will not be eligible for a refund. We understand that unforeseen circumstances can arise, so we offer the option to reschedule your activity, subject to availability and a rescheduling fee of $5.
  3. No-Shows:

    • Failure to attend the activity without prior notice will result in the full charge of the activity with no option for a refund or rescheduling.
  4. Exceptions:

    • In certain cases, such as emergencies or extreme weather conditions, exceptions to this policy may be made at the discretion of our management team. Please contact us as soon as possible if such circumstances arise.
  5. Group Bookings:

    • For group bookings, cancellations must be made  48 hours prior to the scheduled activity. Cancellations made within this time frame will be subject to the terms outlined above.
